Bid Manager
BID MANAGER
Own the bid | Write the story | Lead the win.
Sydney or Melbourne | Full-Time
Trippas White Group is one of Australia’s leading hospitality organisations, delivering premium food, beverage and hospitality experiences across workplaces, education, airline lounges, major venues, restaurants, retail locations and some of the country’s most recognised destinations.
We are continuing to grow and are looking for an accomplished Bid Manager to lead our tenders, EOIs, RFPs, retenders and strategic proposals from beginning to end.
This is not a role where you simply circulate a timeline and wait for other people to write the response. You will own the bid.
You will develop the strategy, run the process, extract the right information, write compelling content, manage the design, challenge weak responses and ensure the final submission is polished, compliant and delivered on time.
THE OPPORTUNITY
Working closely with our Executive General Manager - Business Development, Business Development Managers and senior operational leaders, you will take responsibility for a varied pipeline of new business and retention opportunities.
You will lead submissions involving multiple contributors across operations, culinary, finance, HR, procurement, compliance, sustainability and marketing.
Some bids will require detailed tender responses. Others will call for an engaging pitch document, an executive presentation, a proactive proposal or a beautifully designed client concept.
You will know the difference - and how to deliver each one well.
WHAT YOU’LL DO
- Lead tenders, EOIs, RFPs, retenders and proposals from opportunity review through to final lodgement.
- Establish the bid strategy, win themes, response plan, responsibilities and review process.
- Personally write and edit persuasive, client-focused content.
- Convey operational and commercial information with clear, compelling stories.
- Run workshops and interviews with subject matter experts.
- Hold contributors accountable for deadlines and quality.
- Manage multiple submissions without losing control of detail.
- Develop professional bid documents using Adobe Suite applications.
- Refine graphics, diagrams, timelines, process maps and presentation materials.
- Maintain bid plans and deadlines in Asana.
- Maintain accurate opportunity and bid information in HubSpot.
- Build and manage a high-quality content library, template suite and case study bank.
- Coordinate approvals, quality assurance, document production and submission.
- Support client presentations, clarification responses and post-bid reviews.
- Use bid outcomes and feedback to continually improve how we compete.
WHAT YOU’LL BRING
You will be an experienced bid professional who can demonstrate that you have personally led and written complex submissions.
You will also bring:
- at least 8 years’ experience in bids, tenders, proposals or submission management;
- strong examples of successful end-to-end bid leadership;
- exceptional writing, editing and storytelling capability;
- advanced project management and deadline control;
- the confidence to work with and influence senior stakeholders;
- the judgement to challenge generic, incomplete or unconvincing content;
- strong practical experience with Adobe InDesign, Illustrator and other Adobe products;
- advanced Word and PowerPoint capability;
- exceptional attention to detail;
- a strong understanding of client value, competitive positioning and commercial reality;
- resilience, composure and accountability in a deadline-driven environment.
- Experience using Asana and HubSpot will be highly regarded.
- Experience in hospitality, facilities management, outsourced services, professional services, construction, infrastructure or another complex B2B environment would also be advantageous.
THE PERSON WE ARE LOOKING FOR
- You think strategically, but you are still willing to open the document and do the work.
- You lead senior stakeholders, but you do not rely on hierarchy to make things happen.
- You care about the quality of the writing, the strength of the evidence, the accuracy of the response and the way the final document looks.
- You know that an attractive proposal cannot rescue a weak solution - and that a strong solution can still be lost through generic writing, poor project control or a careless final submission.
- You will bring structure, pace, confidence and high standards to the Bid Centre.
